Quick Pre-employment Testing Results Are a Must

It can be very stressful when you are looking to hire a new driver, especially if you have a truck sitting in the yard costing you money. and worse yet, you have loads waiting to be picked up or dropped off.
There is an enormous amount of liability associated with hiring a driver that is not pre-employment drug tested. Liabilities include regulatory/enforcement issues, fines and possibly treble damage legal claims that insurance companies may never cover. Clearly, ignoring pre-employment testing is not worth the costs to your business today.
The rules are simple, a pre-employment drug test is required if drivers have not been in a program or have been out of a program (unavailable to be randomly tested) for more than 30 days.
We understand the importance of getting a quick “negative” or even positive result from the medical review officer (MRO). We, as your third party administrator (TPA), never know who or when you are sending a driver to pre-employment test unless you have already added them to your program.
We believe that it is very important that you understand some easy steps to assure that you will get your driver’s test result in a timely fashion.
1. Make sure you send your prospective driver/applicant with an authorization or Passport form (Form 111-Section 6) completely filled out to one of AADT’s approved collection sites (the site list is in section 7 of your manual or on our website if you do not have the list). Please understand that if there is a delay associated with a test result, it is likely that there may be information fields on the chain of custody form (CCF) which are data fields are filled in wrong or even missing and that’s probably the cause of the delay.
2. Remind the applicant to return to your office afterwards so you can make a copy of the CCF. This is your receipt that they tested. The employer copy which will be sent to you by the collector is for your records. The donor copy belongs to the donor/driver. Note: Owner-operators are given both the donor/driver and employer copies of the CCF.
3. In many cases we have a copy of the CCF but it is a good idea to fax or email a copy of the chain of custody form to AADT as soon as you get it. Your dedicated customer service representative will look it over to make sure all needed information is correct. If something (typically information) is wrong or missing on the form, we can email our contacts at the laboratory or MRO office to quickly correct it and get it reported back out to you correctly.
4. If you don’t see a result via your normal reporting options you selected (fax, email etc.) within 24 – 48 hours, CALL us immediately at 800-820-9314. Make sure to have your copy of the CCF at the time of the call so we can pull up the information quickly.

It should also be noted that as of the first of next year (maybe even sooner) we will be providing the CCF preprinted with your company information, ours and the MRO’s. Typically, this will eliminate 90% of the delays associated with a test result. We will also maintain unprinted CCF’s at the collection sites for all emergency tests.
